Immediate Supervisor: Executive Secretary/Clerical Supervisor

 

JOB RESPONSIBILITIES:

Under general supervision, types dictation and office correspondence; provides reception and general clerical support to agency.

 

QUALIFICATIONS:

High school diploma or G.E.D. with course work in office practices and procedures with one to three years relevant experience or equivalent combination of education and experience. 

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of department policies and procedures*; office practices and procedures; data entry. Ability to carry out instructions in written, oral or picture form; deal with problems involving several variables in a familiar context; communicate effectively in written and oral form; calculate fractions, decimals and percentages; maintain accurate records; sort items into categories according to established methods; maintain good working relationships with supervisors and co-workers. Skills in telephone; typing (word processing); data entry; Dictaphone; FAX machine; copy machine; microfiche machine. Must own, lease, or have immediate access to safe and reliable (per State Highway Patrol standards) personal transportation to use for work related responsibilities, including transporting children and/or adults.

DUTIES:

     WORD PROCESSING/TYPING

bullet Typing correspondence from handwritten copy or dictation
bullet Proofreading and editing documents

 

     RECEPTION

bullet Answering agency telephones and directing calls to appropriate personnel
bullet Greeting the public, logging visitors in and out
bullet Maintain appearance of lobby area
bullet Maintain sign-out board

 

     GENERAL CLERICAL

bullet Faxing or receiving faxes and directing to appropriate personnel
bullet Copying documents as directed
bullet Recording and filing case related documents
bullet Sorting and processing bulk mail for delivery to post office
bullet Prepare and maintain required reports
bullet Creating and/or closing files
bullet Routine maintenance of office machines
bullet Participate in training opportunities

 

NON-ESSENTIAL DUTIES

Other related duties as assigned including but not limited to:
